Who we are

Recoup Health (“Recoup,” “we,” “us”) runs the insurance billing and revenue cycle for outpatient mental health practices. This policy explains what information we collect through this website and how we handle it. It covers the website only — not the protected health information we handle when we do a practice’s billing, which is governed by the business associate agreement and the engagement agreement we put in place with that practice.

What we collect

Information you give us. When you request a free Revenue Leakage Analysis, we collect what you enter on the form: your name and work email, and — where you choose to give them — your practice name, the state you practice in, the EHR or practice-management system you use, a range for your monthly collections, how your billing is handled today, and anything you write in the message box. The form does not accept files, and it is not a channel for client or patient information.

Usage & device data. We use privacy-friendly, cookieless analytics (Vercel Web Analytics and Speed Insights) that measure aggregate, anonymized usage and page performance. Our servers also keep standard logs (such as IP address, browser type, and timestamps) for security and reliability.

Protected health information (PHI)

Please do not submit protected health information or patient records through this website. The analysis request form asks for practice-level details only, and it does not accept attachments. When we need your billing data — for the analysis or for the work itself — we set up a secure channel covered by a business associate agreement first, and the data moves there, not through a web form or an inbox. We handle PHI under HIPAA and sign a BAA with every practice. Do not email PHI to us unsolicited. PHI we hold for a practice is governed by that agreement and by HIPAA rather than by this policy.

How we use your information

We use what you submit to reply to your request, to set up a secure way for you to share your billing data, to prepare your analysis, and to communicate with you about working together. We use usage and log data to operate, secure, and improve the site. We do not sell your information, and we do not use it for third-party advertising.

Service providers we share with

We share information only with the vendors that help us run this site and reach you, under terms that limit how they may use it:

  • Vercel — website hosting and the cookieless analytics above.
  • Resend — delivers the email notification when you submit the form.
  • Google Workspace — our business email, where we receive and reply to you.

These providers process information on our behalf. Your request reaches us as an email — this website does not keep a database of submissions. We do not sell or rent your information to anyone.

How long we keep it

We keep the details you submit for as long as we are in contact about your request or your engagement, and as needed to meet our legal and recordkeeping obligations, after which we delete or anonymize them. Aggregate analytics are retained on a rolling basis. You can ask us to delete your information at any time. Protected health information we hold for a practice is kept and returned or destroyed under that practice’s business associate agreement and the law that applies to it.

Cookies

Our analytics are cookieless, so this site does not set tracking cookies and does not require a cookie-consent banner.

Your privacy rights

Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, and to opt out of its sale or sharing (we do neither). To make a request, contact us using the details below — we will respond within a reasonable time and as required by applicable law, and we will not discriminate against you for exercising these rights.

Security

We use reasonable technical and organizational safeguards to protect the information we collect and to limit who can access it. No method of transmission or storage is perfectly secure, but we work to keep your information protected.

Changes to this policy

We may update this policy as our site or the law changes. When we do, we will revise the “Last updated” date above and note material changes here.
